Self-hosted digital signage in 2026: options, real costs and the hybrid route
Quick answer: DigitalSignage.com offers self-hosting through mediaSERVER, a one-time $895 on-premise server that runs the same SignStudio editor and SignPlayer apps inside your own network, with per-player licenses sold separately; the hosted service is the other route, with the first 3 screens free forever, then $3 per screen per month. Self-host when policy keeps content on your network, the site has no reliable internet or is air-gapped, or hundreds of screens make a one-time license cheaper than a meter. Count the real cost: a server or VM, patching, backups and partial IT time of $10,000 to $50,000 a year. Below about 20 screens, cloud is cheaper.

When self-hosting is required, and when it only feels required
| Situation | Self-host? | Why | What cloud offers instead |
|---|---|---|---|
| Policy forbids external hosting of content or device data | Yes | Some banks, hospitals, government and defense sites | Nothing; this is the case for mediaSERVER |
| An air-gapped network | Yes | No path to the internet at all | Air-gapped players can also be updated by USB with the Sneaker Net updater |
| No reliable internet at the site: ships, mines, remote plants | Usually | Publishing needs a link; playback does not | Players cache all content and keep playing through outages |
| Several hundred screens with a stable count | Often | A one-time license beats a meter over 3 to 5 years | $3 per screen per month is $3,600 a year at 100 screens |
| "We want to own it" with fewer than 20 screens | Rarely | Server and admin time cost more than the meter | 3 screens free, 10 screens $360 a year, no server |
| Worry about outages | No | Cloud players play from a local cache | Keep 7 days of content on each player |
| Integration with internal systems that cannot face the internet | Sometimes | Data must stay inside | A spreadsheet export or an internal web page shown through the player often suffices |
The three routes
| Hosted DigitalSignage.com | mediaSERVER | Self-hosted CMS projects | |
|---|---|---|---|
| Software license | First 3 screens free forever, then $3 per screen per month; Enterprise per screen in the public calculator | One-time $895 for the server, plus per-player licenses at volume prices, and a yearly updates-and-support fee per license listed on the mediaSERVER price page | $0 for the server software; some charge one-time player licenses on commercial platforms |
| Editor and players | SignStudio and the free SignPlayer apps | The same SignStudio and SignPlayer apps, served from your server | The project's own editor and players; device coverage varies |
| Server | None | Yours: a physical server or a VM | Yours |
| Updates, backups, security | The vendor's | Your IT team's | Your IT team's |
| Internet at the site | Needed to publish and monitor | Not needed | Not needed |
| Support | Vendor support included | Vendor support per the license | Community, or a paid plan |
Two projects in that last column have verified figures in our pricing index: Xibo's CMS is free to self-host, with its Windows and Linux players free and one-time licenses of $28 for Android, $49 for ChromeOS and $85 for LG webOS or Samsung Tizen, or $4.90 per display per month on its hosted cloud; Anthias is free on a Raspberry Pi with no central dashboard, so each Pi is managed on its own.
What self-hosting really costs
The license is the smallest line. Our cloud vs on-premise pages list the rest; the ranges are wide because they depend on what your IT team already runs.
| Cost line | Typical range from our pages | Notes |
|---|---|---|
| Server hardware, or a VM slot | $3,000 to $20,000 for a dedicated server | A VM on an existing host costs far less; a Raspberry Pi per screen for Pi-only projects |
| Software license | $0 to $895 one-time, plus player licenses where charged | mediaSERVER $895; Xibo $0 plus $28 to $85 per commercial player |
| Installation and setup | $2,000 to $10,000 for a managed install | Less if your team does it; our decision guide allows 4 to 8 weeks for infrastructure |
| IT staff time | $10,000 to $50,000 a year, a partial FTE | Patching the OS and the CMS, user support, player enrollment |
| Backups and disaster recovery | $2,000 to $10,000 a year | Media libraries grow; test a restore once a year |
| Security updates and monitoring | $2,000 to $10,000 a year | The CMS is a web application inside your network and needs patching like any other |
| Electricity and cooling for the server | $1,000 to $5,000 a year | Plus about $75 a year per screen for the display itself at 12 hours a day |
| Hardware refresh | Every 3 to 5 years | The line most budgets forget |
Against that, the hosted meter at $3 per screen per month is $360 a year for 10 screens, $1,800 for 50, $3,600 for 100 and $7,200 for 200, with hosting, updates, backups and every player app included. Our cloud vs on-premise FAQ draws the line at about 20 screens, below which cloud is cheaper once staff time is counted, and at about 100 screens, above which on-premise often wins; the decision guide's illustrative 5-year model puts the crossover around 40 to 60 players, depending on how much of the server and admin cost is already sunk.
The hybrid route
Most organizations that think they need self-hosting need one of two lighter things.
Cloud CMS with players that cache locally. This is how DigitalSignage.com works by default. SignPlayer downloads every asset assigned to the screen into its local cache and plays from it on its own clock, so an internet outage does not blank the screen and dayparts still change on time. Only live items, web pages, RSS, weather and streams, pause until the connection returns. Delivery is outbound HTTPS on port 443 only, with no inbound ports, which satisfies most network security reviews without a server inside.
mediaSERVER for the sites that must stay inside. The on-premise edition runs the same SignStudio and SignPlayer, so a company can run its ordinary sites on the hosted service and its secure plant on mediaSERVER with one set of skills and templates. For a site with no network at all, the Sneaker Net updater refreshes players from a USB stick. Our documentation does not describe a single console that manages hosted and mediaSERVER screens together, so plan on two accounts and ask support (support@digitalsignage.com, live chat at https://chat.digitalsignage.com/ or +1-877-344-7446) about the current options.
Checklist before you self-host
- Write down the rule that requires it: a policy clause, a regulator, an air gap, or a screen count and a 5-year horizon. If none exists, start on the hosted service; the first 3 screens are free.
- Count the screens you will have in 3 years, not today, and price both routes at that number.
- Name the server owner, the backup owner and the patch owner, and put their hours in the budget.
- Confirm the players you own are supported by the self-hosted route; device coverage differs between projects and editions.
- Decide where content will be created. If editors work from several sites, they need a path into the server, a VPN or a published web address, which is the first thing a cloud service removes.
- Plan the network: a signage VLAN, wired Ethernet for unreachable screens, PoE for Raspberry Pi players, and NTP inside the network so schedules stay on time.
- Test a restore from backup before the first screen goes live.
- Pilot one site for a month on the real server and the real players, pull the server's network, and confirm every screen keeps playing from its cache.
- Keep the exit in view: standard media formats export from any system; layouts and schedules usually have to be rebuilt.
- Revisit the decision yearly; the meter and the server both change price.
Frequently asked questions
Self-hosted digital signage in 2026: options, real costs and the hybrid route
Three routes: the hosted DigitalSignage.com service, with the first 3 screens free forever then $3 per screen per month; mediaSERVER, a one-time $895 on-premise server running the same SignStudio and SignPlayer apps, with per-player licenses sold separately; or a self-hosted CMS project where the software is free and the server, updates, backups and support are yours. Self-host when policy, an air gap or a large stable fleet requires it; otherwise the hybrid default, a cloud CMS with players that cache locally, covers outages without a server.
When do you need on-premise digital signage?
When policy or regulation forbids external hosting, as at some banks, hospitals, government and defense sites; when the network is air-gapped or has no reliable internet, as on ships, in mines and at remote plants; when the signage must integrate with systems that cannot face the internet; or when several hundred screens with a stable count make a one-time license cheaper than a meter over 3 to 5 years. Fear of outages alone does not qualify, because DigitalSignage.com players keep playing from their local cache.
How much does self-hosted digital signage really cost?
The license is the small part: $895 one-time for mediaSERVER plus player licenses, or $0 for a self-hosted project plus any commercial player licenses. The rest, from our cloud vs on-premise pages: a dedicated server at $3,000 to $20,000 or a VM slot, setup at $2,000 to $10,000 if managed, IT time of $10,000 to $50,000 a year as a partial FTE, backups at $2,000 to $10,000 a year, security updates at $2,000 to $10,000 a year, power and cooling at $1,000 to $5,000 a year, and a hardware refresh every 3 to 5 years. The hosted meter is $360 a year for 10 screens and $3,600 for 100.
What is mediaSERVER?
The on-premise edition of DigitalSignage.com: a server you run inside your own network that serves the same SignStudio editor and the same free SignPlayer apps for Windows, Mac, Android, Chrome OS, Raspberry Pi and browsers, with no cloud dependency and no monthly fee per screen. The server license is a one-time $895; each player needs a license sold separately at volume prices, with a yearly updates-and-support fee per license listed on the mediaSERVER price page. You supply and run the server.
Is cloud or self-hosted digital signage cheaper?
Below about 20 screens, cloud: 3 screens are free on DigitalSignage.com and 10 screens cost $360 a year, less than a few hours of admin time. Above about 100 screens, self-hosting often wins because a one-time license beats $3,600 or more a year, provided the server and the IT time are already in place. Our decision guide's illustrative 5-year model puts the crossover around 40 to 60 players. Price both at the screen count you expect in 3 years.
Can digital signage work with no internet at all?
Yes, two ways. mediaSERVER serves players over the local network, so publishing, playback and monitoring all stay inside. For isolated players on any edition, the Sneaker Net updater refreshes content from a USB stick. On the hosted service, players also keep playing through an outage from their local cache; only publishing and live content need the link. Ask support which fits your site.
